Communication Principles
- Async-first: If it can be resolved asynchronously, don't schedule a meeting — reduce unnecessary meetings
- Document everything: Important decisions and discussion outcomes must be recorded
- Open and transparent: Discuss information in public channels — reduce information silos
- Active listening: Listen before speaking, provide constructive feedback
Meeting Management
Daily Standup
- Time: Fixed time every day, within 15 minutes
- Content: What you did yesterday, what you plan to do today, any blockers
- Rule: Don't discuss technical details — follow up in separate conversations after standup
Weekly Meeting
- Time: Once a week, 30-60 minutes
- Content: Review this week's achievements, discuss next week's plans, share important updates
- Can include a 5-10 minute Lightning Talk
1:1 Meetings
- Frequency: Every two weeks or monthly, 30 minutes each
- Content: Personal status, work challenges, career development, feedback
- This is the member's time — let the member drive the agenda
- Managers should genuinely care about what members think and feel
Retrospective
- Frequency: After each Sprint ends
- Format: What went well / What can improve / Action items
- Pick 1-2 action items to implement each time — don't be greedy
- Create a safe environment where people feel comfortable speaking honestly
Instant Messaging Guidelines
- Use public channels for work-related discussions, not DMs
- When @mentioning someone, clearly state what you need from them
- Don't send messages outside work hours for non-urgent matters
- Don't rely solely on chat for important information — sync it to documentation
